How to join your meeting and collaborate using a teams room
Joining MS Teams meetings brings the best collaboration experience on Teams Rooms. Joining Zoom and Webex meetings are also supported but brings a more basic meeting experience.
Join your meeting:
Just press join – Pre-scheduled meetings appear on the touch panel (name of organizer and meeting time).
Simply tap the Join button to join your meeting.
If your meeting isn’t listed, see below on how to quickly join by adding the room to your meeting.
Quick ways to add this room to a meeting:
(room name appears on top left of touch panel)
A. Join Teams meeting and use ‘Room audio’ – Use your laptop or mobile device to join the meeting, choose ‘Room audio’ when joining, and select this room from the ‘Search for a room’ drop down.
B. Add room as participant to ongoing Teams meeting – Anyone in the meeting can press the ‘People’ button, find the room name, and press the ‘Request to join’ button.
C. Forward invite to room – Use Outlook to forward invite to this room. Note that for meetings hosted by other companies an FM Global user must forward the invite to the room due to security reasons.
Share your screen in a meeting:
Join meeting with your laptop/mobile then share your screen (recommended method)
Step 1: Join meeting using your laptop or mobile device (choose “Don’t use audio” when joining)
Step 2: Press ‘Share’ button in Teams, then present your Screen, a Window, Whiteboard, PowerPoint Live or Excel Live as you normally would.
Present using HDML cable (alternative method)
For Zoom or Webex meetings, or as an alternative in Teams meetings, you can connect the HDMI cable to your laptop. (Some laptops do not have an HDMI connection and will require a USB-C to HDMI adaptor)
Step 1: Connect HDMI cable to your laptop, your screen will be shared in the meeting automatically. Unplug to stop sharing.
How to use other teams room capabilities:
Change your view in a meeting
Manage the view on the front of room display
Select Change meeting video layout view button View on the room console. You can toggle between different views for your room display.
Gallery
Optimize the layout of shared content to make that content as large as possible, while also showing more video participants.
Large gallery
View up to 49 video streams at once. Large gallery view is available when at least 9 people have their cameras turned on.
Together mode
See everyone who has a camera turned on seated together on one virtual background. Together mode view is available when there are at least 4 participants whose cameras are turned on.
Front row
Enhance hybrid meetings and provide in-room participants with greater context of the meeting. On the front-of-room display, you can see remote attendees at eye level, including meeting experiences like chat and a rostered view of participants with raised hands.
Focus on content
Choose when you'd like to pay close attention to the shared content without the distraction of seeing remote participants’ videos.
Swap screens
Swap what each display shows when a room device is in dual display mode. If you have two room displays, one will show content and the other will show people.
Show chat
Turn on the chat toggle on Gallery, Large gallery, and Together mode or select ‘Chat’ on the front row’s dropdown menu on the view switcher. Room users can see the meeting chat sent by remote participants on the front-of-room display. However, a room device cannot send a message.
